Terms of Service

1. Acceptance of terms
By accessing or using MailMind (“the Service”), you agree to be bound by these Terms of Service. If you do not agree, do not use the Service. These terms constitute a legally binding agreement between you and MailMind Technologies (“MailMind”, “we”, “us”).
2. Description of service
MailMind is an AI-powered email task extraction service. We connect to your email accounts via OAuth or IMAP, analyse your emails using artificial intelligence, and surface actionable tasks in a unified dashboard. The Service also offers integrations with third-party tools (Trello, Notion, Slack).
3. Acceptable use
You agree not to:
- Use the Service for any unlawful purpose or in violation of applicable regulations.
- Attempt to reverse-engineer, decompile, or extract source code from the Service.
- Use automated scripts or bots to access the Service beyond normal usage.
- Share your account credentials with third parties.
- Connect inboxes you do not own or are not authorised to access.
- Upload or transmit malware, viruses, or other harmful code.
- Circumvent rate limits, security measures, or access controls.
We reserve the right to suspend or terminate accounts that violate these terms without notice.
4. Subscription and billing
MailMind offers a free tier and paid subscription plans. Paid plans are billed monthly or annually in advance.
- Free tier: up to 2 connected inboxes, 100 tasks/month. No credit card required.
- Pro plan: unlimited inboxes, unlimited tasks, priority support, advanced integrations.
- Cancellation: you may cancel at any time. Access continues until the end of the current billing period. No refunds for partial periods.
- Price changes: we will give 30 days notice before changing subscription prices.
All payments are processed by Stripe. MailMind never stores your payment card details.
5. Intellectual property
MailMind and its underlying technology, design, and content are owned by MailMind Technologies and protected by intellectual property laws. You retain full ownership of your email data and extracted tasks. By using the Service, you grant MailMind a limited, non-exclusive licence to process your data solely to provide the Service.
6. Data and privacy
Our collection and use of your personal data is governed by our Privacy Policy, which is incorporated into these Terms by reference. By using the Service, you consent to our data practices as described in the Privacy Policy.
7. AI-generated content disclaimer
Tasks and summaries are generated by AI models (including Anthropic's Claude). AI output may contain errors or inaccuracies. MailMind does not guarantee the accuracy, completeness, or suitability of AI-generated tasks. You are responsible for reviewing and verifying all extracted tasks before acting on them.
8. Third-party integrations
MailMind integrates with third-party services (Trello, Notion, Slack, Gmail, Outlook, Stripe). Your use of those services is governed by their respective terms and privacy policies. MailMind is not responsible for any acts or omissions of third-party services.
9. Limitation of liability
To the maximum extent permitted by law, MailMind shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, or goodwill, arising from your use of or inability to use the Service, even if advised of the possibility of such damages.
Our total aggregate liability to you for any claims under these Terms shall not exceed the amount you paid MailMind in the 12 months preceding the claim.
10. Warranty disclaimer
The Service is provided “as is” and “as available” without warranties of any kind, express or implied, including but not limited to merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the Service will be uninterrupted, error-free, or secure.
11. Termination
You may delete your account at any time from the Settings page. MailMind may suspend or terminate your access at any time for violation of these Terms or for any other reason with reasonable notice, except in cases of serious violations where immediate termination may occur.
12. Governing law and disputes
These Terms are governed by the laws of France, without regard to conflict of law principles. Any disputes shall first be attempted to be resolved through good-faith negotiation. If unresolved, disputes shall be submitted to the exclusive jurisdiction of the courts of Paris, France. If you are a consumer in the EU, you may also use the EU Online Dispute Resolution platform.
13. Changes to these terms
We may update these Terms at any time. Material changes will be notified by email at least 14 days in advance. Continued use of the Service after the effective date constitutes acceptance of the revised Terms.
